StudyPro Tutoring – Child Safety Policy

Statement of Commitment to Child Safety

StudyPro Tutoring is committed to providing a safe, supportive, and inclusive environment for all children and young people. We believe that all children have the right to feel safe, be heard, and receive an education free from harm. We support and respect all children, as well as our tutors, staff, and families.

We are committed to the safety, participation, and empowerment of all children. Our organisation has zero tolerance for child abuse, and all allegations or concerns about child safety will be treated seriously and acted upon in accordance with our policies and legal obligations.

Our Responsibilities

As an organisation working with children, StudyPro Tutoring acknowledges our legal and moral obligations to protect children from harm. In accordance with the Child Safe Standards and relevant state-based legislation, we are committed to:

  • Preventing child abuse and identifying risks early.

  • Reporting any concerns about child safety to the appropriate authorities.

  • Ensuring compliance with mandatory reporting obligations in all jurisdictions in which we operate.

  • Upholding the Victorian Child Safe Standards and National Principles for Child Safe Organisations.

Child Abuse and Harm – Our Understanding

We recognise that child abuse may take many forms, including:

  • Physical abuse

  • Sexual abuse or exploitation

  • Emotional or psychological abuse

  • Neglect

  • Exposure to family violence

  • Grooming or inappropriate behaviour by an adult or peer

We also recognise that children from minority groups or those with disabilities may be particularly vulnerable and require additional protections.

Creating a Safe Environment

We take the following actions to ensure children’s safety:

  • All tutors and staff must hold a current Working With Children Check (WWCC) or equivalent in their state or territory.

  • All tutoring sessions are to be conducted in the presence or near the presence of a parent or responsible adult. Tutors must not be left alone with a child in a closed room or isolated environment.

  • For online sessions, parents must ensure supervision by maintaining visibility of the session when appropriate.

  • Tutors and staff are required to follow a strict Code of Conduct, which outlines appropriate behaviour when working with children.

  • We strongly discourage private or unsupervised contact between tutors and students outside of our platform or without parental knowledge and approval.

Inclusion and Diversity

StudyPro Tutoring promotes inclusion and respects diversity. We are committed to:

  • Ensuring the cultural safety, participation and empowerment of Aboriginal and Torres Strait Islander children.

  • Supporting the cultural and linguistic needs of children from diverse backgrounds.

  • Promoting the full inclusion and safety of children with disabilities, including ensuring access and communication methods suitable for individual needs.

  • Valuing and respecting children’s views, and empowering them to speak up about matters that affect them.

Staff and Tutor Training & Supervision

We ensure that all personnel:

  • Receive regular training on child safety, abuse prevention, and appropriate conduct.

  • Are supervised and supported through onboarding and ongoing performance evaluations to ensure understanding and implementation of this policy.

  • Are aware of how to identify and respond to child safety concerns.

  • Understand that child safety is everyone's responsibility.

Reporting Obligations and Procedures

All staff, tutors, and contractors are required to report any reasonable belief that a child is, or may be, at risk of abuse or harm. This includes:

  • Disclosure by a child or young person

  • Observed behaviours consistent with abuse

  • Allegations or concerns raised by others

Reports must be made to the relevant authorities, including:

  • Victoria – Child Protection (DHHS), 13 12 78

  • NSW – Child Protection Helpline, 132 111

  • Emergency – Call 000 if a child is at immediate risk

StudyPro Tutoring supports mandatory reporting in all states and ensures that tutors and staff understand their legal obligations.

Recruitment and Screening

Our hiring process includes:

  • Clear communication of our child safe commitment in all job ads and descriptions.

  • Requirement of a valid Working With Children Check (WWCC) or equivalent before any engagement.

  • Reference checks and, where necessary, National Police Checks.

  • Assessment of alignment with StudyPro’s child safe values and ethics.

Any person who does not meet our standards of child safety will not be employed or engaged.

Responding to Allegations or Concerns

We take all allegations seriously. Our response process includes:

  • Ensuring the child’s immediate safety.

  • Notifying relevant authorities as required by law.

  • Investigating internally where appropriate and maintaining full documentation.

  • Informing families of the process and outcomes (where appropriate and safe to do so).

  • Maintaining confidentiality and protecting the privacy of all parties involved, except where disclosure is required to ensure safety.

Privacy and Information Management

We handle all personal information, including allegations or reports, with confidentiality and sensitivity. All data is securely stored and only accessible to authorised personnel.

Empowering Children and Families

We actively involve children and families in our work by:

  • Encouraging feedback from students and families.

  • Listening to children’s views and respecting their input in decision-making that affects them.

  • Providing access to policies and procedures in clear, family-friendly formats.

Prohibited Conduct

Tutors and staff must never:

  • Develop personal or inappropriate relationships with children (e.g., gift-giving, favouritism)

  • Have physical contact outside what is appropriate or necessary

  • Communicate with students outside approved platforms or sessions

  • Engage in discussions or behaviour of a sexual, discriminatory, or culturally insensitive nature in the presence of a child

  • Be alone with a child in an unsupervised or private setting

Risk Management

StudyPro Tutoring has risk management strategies in place to:

  • Assess and address risks in both physical and online tutoring environments.

  • Ensure ongoing review of environments and behaviours that could pose a risk to children.

  • Respond swiftly to any identified risk or concern.

Continuous Improvement

This policy is reviewed every year, or sooner following significant changes or incidents. We invite feedback from children, families, staff, and community members to ensure we are always improving our approach to child safety.
